Registration

How many people from my institution may attend? There are no restrictions, however when more than 10 members from your institution sign up, the rest will be put on a wait list. Selection will be made to ensure we have a good mix of representatives (Staff, Faculty, Executive Leadership etc.) where needed.

I am not a member of The Education Collaborative, can I still attend? Absolutely! Non-members are welcome to attend, learn about The Education Collaborative, and join the conversation about transforming higher education in Africa.

I don’t plan to attend all days of the conference. Can I pay for only certain days? The cost for the registration is heavily subsidized. Registration covers all days of the conference. We are unable to offer single-day registration.

I don’t need accommodation. Will I still pay the full conference fee? The cost for the registration is heavily subsidized. We will encourage participants to stay in the hotel to facilitate networking and experience the full splendor of an Education Collaborative convening.

Who is coming to the conference? All registered conference attendees are able to see a list of attendees on our event app, Whova. Whova allows you to search by sector/geographic region and reach out directly to set up meetings and plan your personal conference agenda. If you are attending the 2025 June Convening for the first time, this is a great way to connect with like-minded members and get to know others in the sector in advance.

What does my registration cost cover? Your ticket covers accommodation from 16th June to 20th June 2025, and all convening sessions from June 16 to June 19 , specific sessions on June 20 (some sessions on June 20 will be limited to specific audiences and others may come at a fee), conference materials, lunch and coffee breaks from 17th to 20th June, 2025, and a cocktail reception on 19th June, 2025. It does not cover dinner, room service or other hotel services.

Agenda

When does the conference begin and end? The conference officially begins at 8:00 am CAT on Tuesday 17th June, 2025, and ends at 1:00pm CAT on Friday 20th June, 2025.

What does the agenda look like? The 2025 agenda will include exciting hands-on and workshop-based sessions for institutions to dive deep into their student development programs and collaborate with likeminded stakeholders to enhance them for strong employability outcomes. The agenda will be updated here – https://educationcollab.ashesi.edu.gh/2025-june-convening/ and on our event platform – Whova.

My organization wants to have a speaking role at the conference. How can we get involved? Please indicate this in your registration or send an email to education.collaborative@ashesi.edu.gh expressing your interest. The 2025 June Convening is designed to be highly participatory and discussion-based for all attendees, regardless of having a formal role on the agenda.

Is there an online component to the conference? Yes, we have made select sessions accessible online! Live streaming will be available for the Symposium and Opening Plenary on Day 1 (June 17th) as well as the Closing Ceremony on June 19th. Join us virtually for these key moments of the conference.

Convening Updates and Platform
Please note we will add you to our mailing list where we will share exciting updates on speakers, sessions and general information on the upcoming convening. As part of the updates, you will receive information to onboard you on the 2025 June Convening platform, Whova, where you can network with other participants and speakers, view the convening agenda and engage in pre, during and post convening activities.

Grant Opportunities

Will there be grant opportunities for those who need financial support to attend?
Yes. Participants can apply for up to $200 in conference grants on a first-come, first-serve basis. Kindly access the form here to express your interest after registration.

Conference Venue

Where will the convening be held? Convening sessions will be held at Marriott Kigali which is approximately 11 kilometers from the Kigali International Airport.

Travel and Lodging

Where will I stay during the convening period? Kindly note that we have made arrangements for participants to stay in the Marriott Kigali, Four Points by Sheraton and Serena Kigali. Accommodation arrangements will be communicated to you once your registration is completed and confirmed.

Please note we are only able to provide accommodation from 16th June to 20th June 2025/21st June 2025. If you need to extend your trip or accommodation, this will have to be done directly with the hotel and at your own cost.

How do I get to the venue from Kigali International Airport? The Education Collaborative will provide airport transfer services for guests on 16th June, 2025, 20th June 2025 and 21st June, 2025 within specified times. Guests are expected to send in their flight details once they confirm attendance or by 15th May, 2025. Guests will have to find alternative means of transportation to the venue outside these specified times.

I need a visa letter to attend the conference. How can I obtain one? If you need an invitation letter to secure a visa, please email education.collaborative@ashesi.edu.gh with the heading “Convening Visa Required”.

All travellers must hold a valid passport or another acceptable travel document. The document must have a validity of at least 6 months on the day of entry in Rwanda.

All visitors to Rwanda must have a valid visa. Nationals of all countries are eligible to receive a visa on arrival at Kigali International Airport and at all land borders without needing to apply in advance. Please note that The Education Collaborative does not cover visa fees for participants. For further information on visas for Rwanda visit www.migration.gov.rw

Do I need any vaccinations before entering Rwanda? Yes. Yellow Fever vaccines are required for travelers from countries with risk for Yellow Fever virus transmission. Please consult with your medical care providers and visit the World Health Organization for additional information.

Miscellaneous

Will the conference provide or endorse transportation services? While The Education Collaborative team may provide general information about available services in the area, it does not endorse or recommend any particular service providers. Attendees should independently verify the quality and safety of services before making any arrangements.

What should I wear to the conference? The dress code for the conference is business casual. While business casual is encouraged, we also suggest bringing a sweater or jacket as meeting room temperatures may vary. Please consider the weather in Kigali during mid-June, which is typically cool, with temperatures averaging around 22-26°C (72-80°F). Light, breathable fabrics are recommended to stay comfortable throughout the conference.

Where can I exchange currency? You can exchange currency at the airport or the hotel. There are also various currency exchange bureaus within the vicinity.
